Direct Answer
To resolve duplicate entries, run a matching report comparing dates, amounts, and reference numbers. Delete or void the duplicate ledger entry. Duplicates often occur due to overlapping bank feed imports or manual entry errors alongside automated bank rules.
Causes of Duplication
Duplicate entries inflate both sides of your ledger and can cause serious tax calculation errors. They usually stem from:
- Overlapping Imports: Importing CSV bank statements from Jan 1-15, and then Jan 14-31, causing the 14th and 15th to duplicate.
- Manual vs. Feed: A user manually enters a vendor payment, and later the bank feed imports the same payment as a new expense rather than matching it.
Verification Steps
- Run a BRS Report: A Bank Reconciliation Statement will quickly isolate duplicates. If the software bank balance differs from the actual statement by exactly the amount of a specific transaction, a duplicate is likely.
- Sort by Amount: Sort your ledger by transaction amount and scan for identical values on the same or adjacent dates.
- Check Reference Numbers: Unique transaction IDs (UTR/IMPS references) should never appear twice.
Prefiler's Deduplication Engine
Prefiler uses deterministic hashing of dates, amounts, and naration text to identify and suppress duplicate bank statement lines, even across multiple PDF uploads or overlapping date ranges, ensuring a clean data foundation for analysis.
